Google Mail

Google Mail is the preferred email system at Stony Brook University for faculty, staff, and students on West Campus, Southampton, Manhattan, and select departments within the Health Sciences Center.

Members of Stony Brook Medicine, including Stony Brook Hospital and the School of Dental Medicine, will continue to use Microsoft Exchange for email due to HIPAA compliance requirements.

New in Gmail

Integrated Experience

Starting in September 2020, Gmail will have a new integrated experience, including Mail, Chat, Meet, and Rooms right in Gmail. New features include

  • Mail functions remain the same
  • Open and co-edit a document with your team
  • Assign group tasks
  • Set your Chat availability to “Do not disturb"
  • Better protect your time with status notices in Chat like “Out of office.”
  • See files shared in a room.
  • See integrated search results and toggle between Email and Chat results on the web.
  • Start a new meeting or see your upcoming meetings under “Meet” on the web.

Google Chat in Gmail

Starting July 15, 2020, Google (Hangouts) Chat, Google's collaborative messaging tool, is available directly in Gmail!

  • Use Google Chat Rooms to message and collaborate with your team
  • Create External Rooms to collaborate between Google Accounts from SBU and beyond
  • Send quick chat messages to colleagues with 1-to-1 direct messages.

Confidential Mode 

Gmail now has Confidential Mode, which helps protect sensitive information from unauthorized access. Confidential mode allows you to

  • Set an expiration date for email messages
  • Revoke recipients' access at any time
  • Help prevent accidental sharing of the body of emails

Note: Confidential messages don't have the buttons to forward, copy, download, or print the email body, but confidential mode doesn't prevent recipients from taking screenshots or photos of your messages or attachments or maliciously downloading them.

Unlimited Storage

Unlimited storage means no need to delete large emails. You can send, receive, and download attachments up to 25MB (larger files will have to be shared via Drive).
