To prevent the inadvertent transfer of sensitive and/or personal data to unauthorized parties, the New York State Office of General Services (NYS-OGS) requires all surplus IT equipment to be cleansed of all data before disposing or repurposing. It is expected that all data be erased from the hard drive (and any other media) in such a manner that it cannot be recovered. Customer Engagement and Support can provide this service on an as-needed basis. It is recommended that when repurposing equipment (e.g. moving machines between personnel or departments), that the machine be cleaned of any University data before the swap.

MySBfiles is a network storage option for all students, faculty, and staff. Up to 2 GB of data can be stored in your personal MySBfiles which is backed up regularly on an automated basis by University servers. You can access your MySBfiles from on or off campus using a Web browser.
Note: Users on the UHMC domain will use their Home Directory ("U Drive") instead of MySBfiles. For information please call the UHMC Help Desk at 4-HELP.

SharePoint Online (or Sites which is part of the University's Office 365 application suite) provides collaborative websites for groups such as research teams, committees, and course-related activities. While DoIT encourages students, faculty, and staff to first investigate Google Drive or Google Sites to handle collaborative projects among teams, SharePoint is certainly a viable alternative. SharePoint is HIPAA and export compliant.

These media files can be accessed online from devices such as tablets, phones, and computers. Google Mail is the preferred email system at Stony Brook University for faculty, staff, and students on West Campus, Southampton, Manhattan, and select departments within the Health Sciences Center.
Members of Stony Brook Medicine, including Stony Brook Hospital and the School of Dental Medicine, will continue to use Microsoft Exchange for email due to HIPAA compliance requirements.

Stony Brook University is registered with the InCommon Certificate Service, a means for IT partners and the University community to easily and affordably obtain digital certificates for the safe sharing of online resources, such as the securing of departmental Web servers.
The InCommon Certificate Service provides unlimited SSL, encryption and code signing PKI certificates for all domains owned by Stony Brook University for one fixed annual fee, allowing Stony Brook to issue certificates based on technical and security needs. The certificates are generated through Sectigo, a trusted commercial certificate authority.
