To prevent the inadvertent transfer of sensitive and/or personal data to unauthorized parties, the New York State Office of General Services (NYS-OGS) requires all surplus IT equipment to be cleansed of all data before disposing or repurposing. It is expected that all data be erased from the hard drive (and any other media) in such a manner that it cannot be recovered. Customer Engagement and Support can provide this service on an as-needed basis. It is recommended that when repurposing equipment (e.g. moving machines between personnel or departments), that the machine be cleaned of any University data before the swap.

In an effort to decrease the number of passwords required to access computing applications across the University, DoIT has incrementally implemented its Web-based, NetID Single Sign On (SSO) service since 2008. Users can log in to campus applications such as Google Apps for Education and WolfMart without having to sign on multiple times or remember many passwords. The SSO service is only used for those applications accessed through a Web browser. Client-based applications, such as the mail client on a smart phone, do not use the Stony Brook SSO.

SOLAR is Stony Brook University's enterprise-wide, self-service system which provides faculty, staff, and students with online access to manage personal information. Students use SOLAR to register for classes, print schedules, view and pay bills, update personal contact information, view transcripts, and submit student employment timesheets. Employees use SOLAR to update personal contact information, view vacation/sick accruals, print class rosters, submit grades, and much more.
