Scheduling Zoom Meetings for Others Using the Chrome Zoom Extension

Using the Zoom Scheduler Chrome Extention, you can schedule Zoom meetings for others (like your manager or other campus leadership) so that they are hosts and have complete control of the Zoom Meeting room.  Since you cannot schedule concurring meetings yet must schedule meetings for others this is a good solution.

First, campus leadership must first allow you to schedule meetings for them in Zoom's settings by following these instructions.

  1. Log into stonybrook.zoom.us
  2. Click Settings.
  3. Scroll down to the bottom of the page.  Next to Assign Scheduling Privilege to, click the + sign and add your assistant's email address. 
    *If a message appears that they are not a user in your Zoom account, please ask them to sign in to Zoom correctly so a Stony Brook account is created for them.

Second, assistants can follow these instructions for downloading the Chrome Extension to ensure that their managers have full control of the Zoom meeting room.  

Also, if the assistant uses more than one computer to create calendar events, the extension must be installed on every computer they use.

  1. Log in to stonybrook.zoom.us
  2. Click Chrome Extention under Meetings
     
  3. Add to Chrome:
  4. Go to Google Calendar.  You may need to refresh the screen.  In Google Calendar, the buttons change a little.   Click Make it a Zoom Meeting and choose the person you are scheduling for.
  5. To ensure that you have set up the Zoom meeting correctly (where you are not the host but your manager is) log in to stonybrook.zoom.us
    Click Meetings and under Upcoming Meetings, you should see the meeting you just created where someone else is host (not you).
