Microsoft Select Campus Agreement
The Microsoft Select Campus Agreement is a software volume licensing agreement providing Stony Brook University with a significant discount on licenses for CoPilot (assigned to specific users) or products for University and Hospital-Owned Computers. The University participates in this program as part of the New York State Microsoft Select and Academic Select License Program. Licenses must be purchased for each person /computer the software will be installed on. One license cannot be purchased and installed on multiple computers.
Requesting perpetual license for Microsoft
Departments can purchase perpetual licenses for CoPilot Microsoft 365, Project and/or Visio. If purchasing with a RF account, download the related MSR file, complete the information and attach to your request in the Service Portal

To purchase a license for any Microsoft Select products and have a West Campus Customer Engagement and Support technician or Stony Brook Medicine Help Desk technician conduct the installation, individuals must work in a department that falls within one of these two service areas.
- When submitting a request for Visio or Project, Fill in "Perpetual License for MS Select: Visio OR Project as the subject, then include all of the following information before submitting:
- The computer name where the product will be installed (here are directions on finding your computer name)
- Contact information for the user of the computer (the tech will reach out to this contact to perform the installation)
- Attach the CES Microsoft Material & Service Requisition (MSR) (.xls version only) to your DoIT ticket for Visio/Project
- The ticket will be routed to the correct team, and a technician will reach out to complete the Microsoft software installation on the specified computer.
- Your request is resolved & Your account is billed the one-time fee(s) for each license you requested.
Moving Microsoft perpetual License
Licenses are not automatically moved if someone gets a new computer OR if someone leaves a department. The user’s supervisor, secretary staff, or colleagues must create a request to move the license to prevent having to pay for an additional license.
- The supervisor, secretary staff, or colleague of the person whose license you want to move needs to log in to create a ticket in the self-service portal at service.stonybrook.edu.
- Create a Ticket requesting that the user's license be moved, and, when applicable, include the original user's computer name and the new computer name.
- If it an application, Once the ticket is routed to the correct team, a technician will reach out to complete the Microsoft software installation on the specified computer.
- If the request is to move a CoPilot license, there is no automated notification.
