Tips for reducing Google Storage

On Monday 6/1, a system wide quota for Google was implemented. In Fall 2025, we implemented the quota for all staff in DoIT & VP Admin.  

We asked our colleagues for some tips, and here's what they shared:

  1. Attachments in emails count towards the sender & receivers emails.  We recommend instead of attaching files, you share a link
  2. Reduce Large emails using Google’s Mail search
  3. Non Google format files have versioning.  You can use manage versions to delete versions you no longer need.
  4. How many “Untitled” files can you find?  
  5. Are you syncing your photos from your device to Stony Brook's Google Photo storage?  If so, change your settings!
