Adding Hosts to a Zoom Meeting

When you Add Zoom Conferencing to a Calendar invitation, you are the host of the Zoom meeting and no one can enter the meeting unless you have joined.  Also you can't leave the meeting because it will end the meeting for everyone.  This presents a problem for those who set up meetings for others and don't need to attend the meeting. 

To work around this, meeting organizers can:

  • Elevate Participants to Hosts during the live meeting:  Learn more
  • Add alternative hosts in the Zoom settings page (see below).  This option allows you to set up the meeting ahead of time.

Also, see instructions on Scheduling Zoom Meetings for Others using the Zoom Schedule Chrome Extension.  This option requires leadership to allow others scheduling privileges on their account.


Add hosts in the Zoom settings page

  1. In Calendar
    • In Google Calendar:  Set up the Calendar invitation in Google Calendar and Add Conferencing > Zoom Meeting and send out the meeting.
    • In Outlook:  Set up your meeting by clicking on Schedule a Meeting and send out the meeting invitation.
  2. In Zoom:  Log in to stonybrook.zoom.us
  3. Click Sign In to configure your account.
  4. Under Upcoming Meetings, locate the meeting you created and click on the title.
  5. Scroll to the bottom of the page and click Edit Zoom Meeting.
  6. Scroll to the bottom of the page and fill in the email address of the Alternative Host:

    You can add more than one Alternative Host separated by commas.

You can also allow participants to join the meeting before the host.
